Standard Colors Ship With a Known Record; Custom Colors Do Not
Stock and standard colors carry historical production data, archived batch records and established tolerance benchmarks that you can reference when a dispute arises. Custom colors are mixed to a target, and that target exists only as a physical sample or a spectrophotometric reading until the approval chain creates a documented production baseline.
AAMA 2605, the governing specification for high-performance organic coatings on architectural aluminum, sets rigorous performance thresholds for color retention, chalk resistance and gloss retention over time. It does not define the pre-production approval sequence that determines whether the initial color is correct before panels leave the coating line. That gap between performance specification and approval process is where fabricator liability lives.
The downstream standard you are working toward is meaningful: AAMA 2605 requires that color retention not exceed a Delta E of 5 units after weathering exposure. Meeting that threshold in the field starts with getting the initial color right in the shop, and getting it right requires a documented sequence before production begins.
A Draw-Down Sample Is Not a Courtesy; It Is a Binding Color Reference
A draw-down sample is a small-format application of the mixed coating applied to a substrate representative of the production panel, typically aluminum with the same pretreatment, to show the true color under controlled conditions before any production run begins. It is the first contractual anchor in the approval chain and should be treated as such from the moment it leaves the coating facility.
Require the draw-down to be produced on the same alloy and gauge specified for the project. Substrate variation affects final color appearance, particularly in metallic and mica-containing formulations, and a draw-down produced on a different gauge or alloy introduces a variable that undermines the comparison at every subsequent stage.
The architect or specifier must sign and date the draw-down. You retain a duplicate panel sealed in archival packaging, establishing a physical reference that survives the full project timeline. Spectrophotometric readings taken at this stage, recorded as L, a, b* values under a defined illuminant such as D65, create a numerical baseline that removes subjectivity from every subsequent comparison.

Before the coating line runs, the fabricator, coating applicator and specifier must agree in writing on the acceptable Delta E range, the measurement geometry (45/0 or sphere), the illuminant and the observation angle. This is not a formality; it is the document that resolves disputes without litigation, and it should be executed before any production commitment is made.
Gloss tolerance belongs in the same document. A color that reads within Delta E limits but lands outside the specified gloss range will still generate a rejection claim on site, because the visual impression of the installed panel will not match the approved sample. AAMA 2603, 2604 and 2605 each carry different gloss retention thresholds, and specifying which standard governs the project anchors the tolerance discussion to a recognized benchmark that all parties can reference without ambiguity.
A Witness Panel Pulled From the Actual Production Run Is the Only True Pre-Ship Verification
A witness panel is a full-production panel, coated on the same line, in the same batch, using the same mixed coating as the project panels, pulled before the run is packaged and shipped. It is not a separate test piece prepared under different conditions; it is a panel that could have gone directly into the building, which is what makes it a reliable verification tool.
You or an authorized representative should be present at the coating facility when the witness panel is pulled, or should receive the panel under a documented chain of custody with batch records attached. The witness panel is then compared against the signed draw-down sample under controlled lighting, typically a color-assessment booth calibrated to D65 or the illuminant specified in the tolerance agreement, and spectrophotometric readings are recorded and logged against the baseline established at the draw-down stage.
If the witness panel falls outside the agreed tolerance, the coating line stops. The batch is adjusted and a new witness panel is pulled before production resumes. That step is non-negotiable and should be written into the purchase order before the project begins. You retain this documentation alongside the signed draw-down sample and the tolerance agreement, creating a complete approval chain that can be produced in response to any claim. Panel-level traceability, where each panel or panel bundle carries a label referencing the batch number, allows you to isolate any out-of-tolerance panels to a specific production window rather than treating a rejection as a whole-project problem. That distinction matters when a dispute involves twelve panels out of three hundred.
Digital records stored in a project management system with date-stamped uploads are more defensible than paper files alone, because they establish when each approval step was completed relative to the ship date. How Panels Are Compared on Site Determines Whether the Approval Chain Holds
Field color comparison should never occur under direct sunlight at midday. If the field comparison protocol is undefined, the approval chain you built in the shop can be undermined by a comparison conducted under conditions that would cause any panel to fail.
Provide the general contractor and installer with a written field comparison protocol that references the approved witness panel, specifies the measurement tool and illuminant and defines who has authority to call a rejection. That last point is frequently overlooked: without a defined authority, a rejection call can come from anyone on site, and resolving it requires reconstructing a chain of decisions that should have been settled before the first panel was lifted.

The comparison protocol must specify panel orientation during assessment.
